Key Responsibilities:

HR Responsibilities:

  • Attendance and employee record management
  • Handle employees’ on/o boarding;
  • Manage employees’ dependent registration/cancellation
  • Manage family leave processes, company policies, and benefits packages
  • ssue certificates in both English and Japanese (employment certificates, working certificates, etc.)
  • Process reimbursed expenses (collection, calculation, and check)
  • Manage company housing contracts (Liaison with management companies, draft and cancel contracts, manage renewal process, etc)
  • Support immigration process and visa applications for employees joining from abroad
  • Issuance of various documents for administrative procedures (year-end adjustment documents, health insurance, etc
  • Follow salary payment process - submit related info and double-check calculation (done by 3rd party)

Finance & Accounting Responsibilities:

  • Liaise with third party providers, clients, and suppliers
  • Ensure payments, amounts and records are correct (record and file cash transactions, process invoices, account reconciliation, etc.)
  • Control credit and monitor debt
  • Translation of financial documents to share financial information with London team

Office Administration:

  • Ordering business cards
  • Post management
  • Planning and managing in-house events
  • Processing mandatory government/regulatory questionnaires
  • Facility management/ liaison with building management companies
  • Office security card management (Application, registration, cancellation, etc
  • Ordering and management of office supplies
  • Telephone correspondence

Management of general meeting of shareholders:

  • Organize shareholder/board meetings
  • Creation of various reports/minutes management
  • Revision of the Articles of Incorporation and internal regulations

Management of company registration:

  • Process company registration change
  • Process directors registration change

Mandatory Skills:

  • Education: A higher diploma or equivalent
  • Experience: At least 3 years of relevant experience, preferably in a global company
  • Communication skills: Excellent communication skills, both written and oral
  • Computer skills: Proficiency in MS Office, including Excel, Word, and PowerPoint
  • Personality traits: Detail-oriented, proactive, independent, and self-motivated
  • Other skills: Ability to work in a fast-paced environment, multi-tasking skills, problem solving and coordination skills
  • Cultural understanding: Deep understanding of Japanese business culture and regulation
  • Team management: Team management skills

Preferred Skills:

  • Language skills: Native Japanese and fluent/communicative English
